President:
- Set the agenda and preside at all PTSO meetings and of the executive board and executive committee at which he/she is present.
- Perform such duties as may be prescribed in by laws or assigned to him/her by the organization, executive board, principal or designee.
- Be a member of ex-officio of all committees, except the nominating committee.
- Coordinate the work of the officers and committees of the organization in order that the purposes may be promoted.
- Serve as one of three authorized signatories of all PTSO checks and the only authorized signatory of PTSO contracts.
- Review and approve by signature the reconciled bank statement from the treasurer on a monthly basis.
Vice President:
- Act as aide to the President, shall perform such other delegated duties as may be assigned to him/her by the organization or by the executive board.
- Be a member ex-officio of all committees.
- Serve as one of three authorized signatories of all PTSO checks.
- Perform the duties of the President in the absence or inability of that officer to serve.
Committee Duties:
Communication:
- Manage all main communication including the website, email, Facebook, Instagram and our portion of the CHS E-News.
- Respond to and/or forward to the appropriate Executive Board member or Committee all messages from the public.
- Work with all committees to communicate their information to the public.
- Work with CHS staff on the E-News and coordinating and requesting information to be shared with the public. Use Microsoft Word to create E-News.
- Manage website related accounts including Weebly and GoDaddy and keep them up to date regarding domain registration and security/SSL. Work with the Treasurer to ensure the paid GoDaddy account is kept current. Work with the Treasurer and the Spirit Wear/School Store Committee to acquire the PayPal HTML codes for the website.
- Create images and graphics using photo editing programs or applications to use along with communications.
- At least one representative from the committee will attend monthly Executive Committee meetings and vote in all annual meetings.
Hospitality:
- Manage all teacher/staff appreciation programs which includes but is not limited to: monthly appreciation activities, birthday recognition and special appreciation events (holiday luncheons, appreciation weeks, etc.).
- Manage and coordinate Order of the Chevalier events.
- Manage and coordinate A Honor Roll student events.
- Support other school events as needed.
- Work directly with the Executive Board for annual planning including budgetary needs.
- Manage programs within set annual budget and follow all established procedures for reimbursement.
- Work closely with the Volunteer Committee to communicate needs in advance of events.
- Work closely with the Communication Committee for E-News, website and social media updates related to hospitality.
- Communicate and coordinate all activities with CHS Principal or other designated CHS staff representatives.
- At least one representative from the committee will attend monthly Executive Committee meetings and vote in all annual meetings.
Invest in CHS:
- Manage all activities related to the Invest in CHS Program including documenting donations, acknowledging donations, completing required documentation for matching gifts, etc.
- Work directly with the Executive Board for annual planning including budgetary goals.
- Manage Invest donation drives at all major CHS face to face parent events – back to school night and new student orientations, etc.
- Work closely with the Volunteer Committee to communicate needs in advance of events.
- Work closely with the Communication Committee for E-News, website and social media updates related to the Invest program.
- At least one representative from the committee will attend monthly Executive Committee meetings and vote in all annual meetings.
Membership:
- Manage all activities related to encouraging PTSO membership including documenting members and acknowledging those who join.
- Work directly with the Executive Board for annual planning including budgetary goals.
- Manage membership drives at all major CHS face to face parent events – back to school night and new student orientations, etc.
- Work closely with the Volunteer Committee to communicate needs in advance of events.
- Work closely with the Communication Committee for E-News, website and social media updates related to membership.
- At least one representative from the committee will attend monthly Executive Committee meetings and vote in all annual meetings.
Scholarship:
- Ensure an equitable PTSO scholarship selection process.
- Committee members should not have a matriculating senior.
- Work closely with the President and Treasurer, keeping them informed of the process in addition to planning the budget.
- Develops updated application and scholarship materials.
- Select Scholarship Review Committee who upholds the mission of impartiality.
- Collaborate with the Communication Committee to develop media for advertisements.
- Organize all application materials, maintaining applicant confidentiality throughout the process.
- Ensure proper verification of all applicant qualifications.
- Submit all materials to the Scholarship Review Committee.
- Assist in assembling and tallying of the Scholarship Review Committee outcomes.
- Keep records of all applicant materials.
- Distributes awards with the assistance of the President, Treasurer and Principal.
- At least one representative from the committee will attend monthly Executive Committee meetings and vote in all annual meetings.
Senior Events:
- Manage and coordinate all Senior Events activities for the current CHS senior class which may include, but is not limited to, monthly senior breakfasts or other events, the senior luncheon, activities related to senior week, graduation and cap and gown picture days, etc.
- Manage all Senior Event Package orders and distribution which includes maintaining a list of all students participating, creative design selection for package items and vendor management.
- Work directly with the Executive Board for annual planning including budgetary needs.
- Manage programs within set annual budget and follow all established procedures for reimbursement.
- Work closely the Volunteer Committee to communicate needs in advance of events.
- Manage the Senior Parent Volunteer List.
- Create and manage a Facebook page and an Instagram account specifically for Senior Events information.
- Work closely with the Communications Committee for E-News, website and social media updates related to Senior Events.
- Communicate and Coordinate all activities with CHS Principal or other designated staff representatives.
- At least one representative from the team will attend monthly Executive Committee meetings and vote in all annual meetings.
Spirit Wear/School Store:
- Manage spirit wear Inventory.
- Manage vendor relationships.
- Manage and direct new spirit wear design development, quantities purchased, etc. and follow all established procedures for vendor payment.
- Work directly with the Executive Board for annual planning including budgetary needs.
- Manage all pricing and spirit wear sales programs.
- Manage the Spirit Wear/School Store PayPal account.
- Manage spirit wear sales at all major CHS parent events - back to school nights and new student orientations, etc.
- Work directly with the Treasurer and follow all established procedures for monetary transactions at face to face sales events.
- Work closely with the Volunteer Committee to communicate needs in advance of events.
- Work closely with the Communication Committee for E-News, website and social media updates related to spirit wear programs.
- At least one representative from the team will attend monthly Executive Committee meetings and vote in all annual meetings.
Volunteer:
- Manage SignUpGenius Account.
- Manage Volunteer List.
- Work closely with all committees regarding posting volunteer needs and activities.
- Work closely with the Communication Committee for E-News, website and social media updates related to volunteer activities.
- At least one representative from the team will attend monthly Executive Committee meetings and vote in all annual meetings.
